Purpose:

Manage projects to ensure we deliver the highest quality project management in the industry. The primary goals of project management excellence include:

Delivering the ultimate client experience and satisfaction, including all client parties (Ops, Execs, PMs, field).

Effective and efficient production management resulting in consistent deliverable quality.

Increasing repeat business through the client experience.

Consistent implementation of PM software.

Maximizing our project profitability while maximizing client profitability.

Consistent documentation that mitigates our risk and our clients’ risk simultaneously.

Effective communication and setting/managing expectations at all project stages.

The Project Manager will work closely with internal teams and provide guidance and training. They will support the management of all projects from pursuits through closeout including proposal review, contractual compliance, client communication tactics, advising on project issues, quality management, supporting team collaboration, and helping to achieve profit goals. They will lead by example and promote company culture, purpose, and values through thought leadership and actions.

Purpose:

Assume project responsibility from startup through closeout to include but not limited to client relations, team collaboration, project schedule, reports, and budgets. Set up and maintain all documents that will pertain to the project to ensure procedural and contractual compliance.
Initiate and maintain positive working relationships with clients, engineering consultants, and other project team members. Maintain effective working relationships within the various departments of the company.
Provide accurate financial reporting, billings, and cash flow projection for active projects.
Assume responsibility for the monthly billing procedure to ensure it is completed in a timely and accurate manner; set up project billing projections at start of project and verify timely collection of receivables.
Complete job closeout notification to clients and team members. Follow up to ensure project closeout is completed in a timely and accurate manner, within four weeks after project completion.
Represent VEC at all times in a professional manner that is consistent with the company’s values, including maintaining current project-specific knowledge, being prepared for project meetings, proactively communicating with the project team, and meeting deadlines and commitments.
Contribute to company’s culture, mission and values through thought leadership and actions.
Manage team performance and take action to resolve performance issues.
Collaborate with team to ensure project is on schedule, within budget and meets or exceeds quality standards and client expectations.

Recommend departmental and project process improvements to increase efficiency, and productivity.
Facilitate internal and external lessons learned meetings and distribute information to senior management and team members.
Participate in the marketing process, including presentations, RFP responses and attending industry events.
Provide direction and training for the development of Assistant Project Managers and administration support assigned to the team or project.
Perform other projects and duties as assigned.
Possesses knowledge and understanding of departmental functions, technical standards, and customer requirements

Recurring/Routine Tasks:

Review project resource allocations and demands weekly with department director.
Work with finance and admin teams to ensure billings are submitted on time. For T&M projects, billings should be sent to client no later than the end of the first week of the month for the previous month’s invoice.
Ensure revenue forecasts are completed and reviewed by the end of the second week of the month.
Provide the department director with contract and financial audit updates during the third week of the month.
Forecast profit and loss for lump sum projects.
