What You Will Do

This is a hands-on senior role for someone who has carried out this work before: built the process, knew the system, and trained the team. You will improve and build upon our existing system, not just maintain it.

You will inherit a lean, well-documented process library and a functional team. Your job is not to invent from scratch. It is to take what works, make it better, and rebuild it for a more complex ERP environment we are currently implementing. You will initially manage a team of seven Project Administrators (PA), including three PA Leads, and your team and role will continue to grow based on business needs. You will own billing integrity review, serve as the functional voice from business operations to the integrations engineer, and ensure the new system is built to support our administration and operational workflows.

Key Responsibilities

Billing Integrity

Conduct monthly review of billable fees versus invoiced amounts across the project portfolio.

Identify and root-cause billing gaps: PA execution issues, missing or incorrect data entry, workflow breakdown, or Project Manager (PM) non-compliance.

Distinguish between what requires training, what requires a process or SOP change, and what requires PM escalation.

Report findings to VP with clear pattern analysis and recommended corrective action.

PA Lead Management

Directly manage three PA leads and hold performance management for all seven team members (3 PA leads + 4 Project Administrators); the leads coordinate daily work and quality but do not hold performance authority.

Hold PA leads accountable for data accuracy, workflow compliance, and team output quality.

Ensure leads understand not just how to enter data but why it matters, the downstream billing and revenue consequences of errors or omissions.

Serve as the escalation point for issues leads cannot resolve independently.

Train leads on new ERP processes and ensure they can effectively train their team.

Process Library Ownership

Maintain, organize, and improve the existing SOP library: audit for gaps, outdated content, and process inconsistencies.

Update all current processes for the new ERP environment as configuration progresses.

Own workflow documentation standards across the PA function; all work instructions must be system-specific and actionable.

Cross-Functional Operations

Communicate with Project Managers regarding documentation, compliance, and billing requirements.

Document non-compliance and escalate through appropriate channels (PX leadership) with a clear paper trail.

Coordinate with Accounting on billing and AR-related operational issues.

Contract & Commercial Administration

Own intake, organization, and tracking of contracts, POs, and change orders across the project portfolio.

Ensure alignment between contract terms and project setup: billing structure, rates, and scope.

Establish and maintain processes to track approvals, pending change orders, and contract modifications.

Own administration of insurance requirements, COIs, and client compliance documents; coordinate with brokers and internal stakeholders.

What We’re Looking For

Demonstrated ownership, not participation, of the operations side of an ERP or major system migration, carried end to end.

Built system-specific SOPs and workflows from scratch, tied to actual system screens, fields, and steps, not conceptual process maps.

Direct functional experience with a complex, project-based AEC/professional-services ERP (Kantata/Mavenlink, Deltek Vantagepoint/Vision, Unanet, Ajera, BST, or equivalent), including project accounting, billing configuration, and revenue recognition.

Track record of driving compliance without positional authority, influence through documentation and escalation, with a clean paper trail.

Personally owned billing reconciliation in a T&M and/or Fixed Fee environment: found the gap, traced the cause, and changed the process, not just flagged it.

Strong written communication; a significant portion of this role's output is documentation that must stand on its own without the author present.

Identifying gaps early, asking the technical questions, tracking decisions, escalating risk, and acting with authority on the owner's behalf so every item moves from concept to operational readiness without disrupting the project.

The OFE-C does not purchase or install equipment. The role governs the work through a master OFE log kept as the single source of truth, a RASCI matrix that settles who furnishes, installs, and accepts each item, and asset metadata validated against the project's Asset Information Requirements (AIR) schema.

This is a mission-critical coordination role, roughly 60% cross-party coordination and communication and 40% technical judgment.

Key Responsibilities

Master OFE Log & Tracking

Create, own, and maintain the master OFE log as the single source of truth for end-to-end equipment tracking, including equipment IDs, locations, vendor information, procurement status, installation responsibility, utility requirements, delivery dates, and closeout status.

Keep all tracking logs current and usable by every party working from them.

Enforce model metadata compliance against the Asset Information Requirements (AIR) schema using automated validation tools.

Maintain the CDE for the OFE register and supporting documentation, and reduce data fragmentation across single-site and multi-site environments.

Responsibility Boundaries & Scope Interfaces

Define who furnishes, purchases, delivers, installs, connects, tests, commissions, warrants, and accepts each OFE item.

Identify and resolve scope gaps between owner, vendor, GC, trade contractors, design team, and operations through a RASCI matrix.

Hold owner-furnished scope rather than deferring it, and make the call when responsibility is unclear.

Technical & Installation-Interface Coordination

Collect and track vendor cut sheets, installation manuals, utility requirements, clearance requirements, structural support needs, data/IT needs, and maintenance access requirements.

Coordinate OFE requirements across architectural, structural, MEP, low-voltage, BIM/VDC, and field teams.

Inform BIM/VDC of OFE design changes ahead of time so clash resolution stays on schedule for sign-off.

Procurement, Delivery & Schedule Risk

Monitor equipment selections, purchase orders, lead times, submittals, fabrication, shipping, delivery, storage, and installation windows.

Escalate late decisions, missing vendor information, changed equipment requirements, delivery conflicts, and schedule impacts to the responsible parties in time to act on them.

Use visual planning and 4D sequencing tools such as Synchro and Navisworks to review equipment development and protect schedule-critical-path access.

Commissioning, Turnover & Operational Readiness

Track delivery confirmation, installation verification, commissioning, warranties, O&M manuals, serial numbers, asset tags, and final acceptance.

Validate asset metadata against the AIR schema before operational sign-off and handoff to the owner.

Deliver the asset data and closeout documentation package, and support digital handoff.

Stakeholder Coordination

Owner and client team for equipment decisions, standards, approvals, and acceptance requirements.

Owner procurement for purchasing status, vendor contracts, lead times, and delivery commitments.

Contracts, Change Orders & Compliance

Request NET 30 payment terms as our standard position.

What You Will Do

What We’re Looking For

Bachelor’s degree in Construction Management, Civil Engineering, Architecture, or a related field.

Familiarity with 4D/5D simulations and cost/time modeling.

3–5+ years of AEC industry experience.

Overview

The HR Generalist manages full-cycle recruiting and supports consistent, well-run people processes across the organization. This role ensures recruiting, onboarding, HR systems administration, and compliance activities are executed accurately, efficiently, and in alignment with company standards.

This is a hands-on, systems-driven role that requires strong working knowledge of PEO-based HRIS platforms and ATS systems. The HR Generalist reports directly to the Human Resources Manager.

Key Responsibilities

Full-Cycle Recruiting & ATS Administration

Support full-cycle recruitment from requisition through offer acceptance.

Post jobs in ATS platforms and maintain structured candidate workflows.

Schedule interviews across U.S. and international stakeholder time zones for U.S.-based hires.

Overview

As a VDC Specialist/Electrical, you will be responsible for ownership in three primary categories:

BIM project set up to include developing procedures and ensuring deliverables.

Quality control to include quality assurance (QA/QC).

Direct client services.

You will also have a supportive role in the following:

Modeling.

Remote team management.

Assisting PM in response to pricing and change orders as well as scheduling.

Customer relationship.

Project management assigned tasks.

Developing tools for work optimization.

What We’re Looking For

2-3 years of BIM or VDC experience

Ability to analyze modeling challenges and provide constructible solutions.

Strong knowledge of Revit, AutoCAD, Navisworks, Bluebeam, and Procore.

Strong ability to collaborate with contractors, project managers, and field teams.

Familiarity with electrical systems, conduit routing, NEC codes, and field installation practices.

Take full responsibility for BIM model accuracy, project success, and team collaboration.

Experience working with multidisciplinary coordination efforts in BIM.

Work Environment:

Office-based or remote with some site visits as needed.

Collaborative environment (virtual or in person) with frequent team meetings and project briefings.

Potential for travel depending on project locations.
